| FACILITIES MANAGER LAW FIRM EXPERIENCE REQUIRED - to $110,000 A well-established large law firm is looking for a Facilities Manager with extensive experience overseeing the operations of a law firm and managing renovation projects. Ideal candidates will have demonstrated proficiency with Facility Services Management, Renovations, Purchasing and Inventory Control, Construction Management, Space Planning, and Staff and Vendor Management. Looking for individuals that are very hands on and eager to work side by side with their team. Only candidates with law firm experience will be considered for this position. LOCATION - New York City, NY - Midtown Manhattan
KEY RESPONSIBILITIES - Provide overall facility services and operations management
- Act as liaison with building management, plant maintenance company, contractors and other related entities
- Maintain day-to-day coordination of building related issues and ensure optimal functioning of facility
- Managing the activities of the Facilities/Supplies and Conference Services Department staff
- Repair and maintain inventory control of firm furniture, equipment, and property
- Maintain current vendor files and evaluate vendor performance to insure competitive cost and service
- Coordinate the New York office Fire & Life Safety Program including business continuity program and emergency response training
- Supervise and manage all new construction and remodeling projects including office space planning and moves for both permanent and temporary office needs
- Handle purchasing and receiving of furniture, fixtures, and equipment to coincide with construction schedules
- Prepare and monitor Facilities/Supplies and Conference Services Department budget, managing cost of operations for staffing, scheduling of conference rooms, catering, and meeting support
- Develop and maintain control procedures to maintain purchase records and inventories and prepare monthly departmental reports and statistics
- Implement and management of facility and services strategies and procedures
REQUIREMENTS - 10+ years in facilities management with supervisory experience
- MUST have large law firm and renovation experience
- Knowledge of building code rules, ADA regulations and architectural drawings
- Bachelor’s degree or commensurate experience required
COMPENSATION - Base to $130K plus exceptional firm benefits and bonus

Operations Manager
COMPENSATION
$120,000 - $130,000 base salary + bonus

LOCATION

KEY RESPONSIBILITIES
• Manages the operation of the entire facility and all equipment including management of full time staff, outsourced services and budgets. • Assists, and in some cases, leads, negotiations of contracts with all other vendors used by Operations; monitors adherence to contract requirements and financial expenditures. • Assists in management of all construction and project design work; identifies opportunities to accelerate schedule and control costs, reviews change orders and costs associated with same. • Participates in preparation of bid packages for all major purchases of goods and/or services; reviews and analyzes responses and participates in the selection of providers. • Works directly with various vendors, internal contacts, and appropriate building management personnel for cleaning, restoration and other general housekeeping needs. Negotiates and manages maintenance contracts for equipment and furniture. • Maintains day-to-day coordination of building related issues and ensures optimal functioning of facility and oversees cleaning and maintenance of facility. • Responsible for managing all aspects of the firm’s New York corporate apartments and scheduling of the same. • Contracts for and ensures the purchase of necessary office supplies within the limits prescribed by the firm’s budget and firm-wide vendor agreements for such expenditures. Reviews and approves all non-routine purchases. • Maintains inventory of equipment and furniture both on-site and off-site. • Leads internal Office Moves Team. Manages and coordinates internal office moves with appropriate departments.
REQUIRED SKILLS & EXPERIENCE
• 8+ years’ experience managing mid-sized Facilities and Operations Departments • Must have experience with overseeing large construction projects. • Prior experience working with conference reservation systems and workflow management systems required. • BA/BS degree required or professional experience will be considered in lieu of degree.

Summary:
The Facilities Supervisor assists the Director of Facilities with the day-to-day management of the Facilities Technicians including establishing short/long term goals for the department; providing leadership, coordinating the work schedules of the technicians and successfully collaborating with multiple departments including the Conference Center and Catering Services.
The Facilities Supervisor is also responsible for ensuring customer e-Requests and meeting room requirements are addressed, and for maintaining assigned floor(s) (including common areas, conference rooms, private offices and secretarial stations). Job Responsibilities: - Providing supervision, feedback and support regarding their day-to-day tasks; leading daily meetings; managing the storage of items in mechanical rooms and overseeing the inventory of supplies; coordinating/executing office moves; reviewing and tracking Facilities e-Requests and Conference Center ESP2000 task reports daily
- Working with the Food Service Director to plan support for meetings and events; collaborating with the Director of Facilities to create plans for the “continuous improvement program” for Facilities Technicians;
- Reviewing daily attendance records and assisting with the management and approval of overtime for special assignments;
- Developing, implementing and maintaining the preventative maintenance program and ensuring the Firm’s systems and finishes are being attended to; providing regular feedback on the Facilities Technicians’ performance and assisting in the preparation of performance reviews;
- Revising and updating the department’s procedure books; attending to daily maintenance issues and escalating to management when necessary; keeping the department apprised of the status of work requests via email;
- Assisting with HVAC issues as needed; interacting with attorneys and administrative staff to ensure customer satisfaction; performing a weekly walk through of space to ensure that aesthetics meet Firm standards; and performing other duties as assigned.
Job Requirements - Associate or BA Degree or Trade School Certificate is preferred;
- 5 years supervisory or team leader experience within a law firm or commercial office;
- Excellent organizational and time management skills
- Excellent verbal and written communication skills; the ability to effectively utilize a Blackberry and communicate via Blackberry; the ability to develop procedures and policies, have sound judgment and problem solving capabilities;
- Proven project management, customer service and interpersonal skills; the ability to work independently and lead others; the ability to collaborate across a multi-department operations team;
- The ability to work well under pressure and to maintain a professional demeanor;
- General knowledge of carpentry, HVAC, and plumbing; proficiency with carpentry tools as well as HVAC thermostats;
- The ability to lift objects weighing 50 pounds; and the availability to work overtime as needed.
- The hours for this position are Monday - Friday, 7:30 a.m. to 3:30 p.m.
